Job Description

We are seeking a dedicated and detail-oriented Administrative Assistant to join our team in a quiet office setting. As the first point of contact for many of our patients, you will play a crucial role in ensuring the smooth daily operation of our clinic, contributing to a positive and healing experience for everyone.

Key Responsibilities

  • Manage patient scheduling, appointments, and cancellations with efficiency and empathy.
  • Handle incoming calls and emails, providing clear and helpful information.
  • Maintain accurate patient records and ensure data confidentiality.
  • Process patient payments and manage basic billing inquiries.
  • Prepare treatment rooms between appointments, ensuring cleanliness and readiness.
  • Order and maintain office and clinic supplies.
  • Assist practitioners with administrative tasks as needed.
  • Ensure the reception and waiting areas are tidy and welcoming.
  • Adhere to all clinic policies and health regulations.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational abilities and attention to detail.
  • Ability to work independently and manage time effectively.
  • Discretion and respect for patient confidentiality.
  • A calm and professional demeanor.
  • Customer service experience.

Preferred Qualifications

  • Previous administrative experience in a healthcare or clinic setting.
  • Familiarity with patient management or scheduling software.
  • An understanding of alternative therapies, particularly acupuncture.
  • First Aid certification.
