Job Description

We are seeking a dedicated and detail-oriented Police Records Clerk to join our administrative team. This full-time, on-site position is essential for the efficient operation of our records division. The successful candidate will be responsible for processing, maintaining, and disseminating police records and information in accordance with departmental policies, state, and federal regulations. This role requires a high degree of accuracy, discretion, and the ability to handle sensitive information with confidentiality. A comprehensive background check is a mandatory requirement for this position.

Key Responsibilities

  • Process, file, and maintain police reports, citations, and other official documents.
  • Respond to public and inter-agency requests for information, ensuring compliance with privacy laws and departmental guidelines.
  • Enter data accurately into various police information systems.
  • Assist law enforcement personnel with record retrieval and documentation needs.
  • Manage and organize physical and electronic record archives.
  • Prepare summaries and reports as required.
  • Ensure the integrity and security of all police records.
  • Perform general clerical duties, including answering phones and directing inquiries.

Required Skills

  • High school diploma or GED equivalent.
  • Minimum of 1 year of experience in an administrative or clerical role, preferably in a public safety or legal environment.
  • Proficiency in data entry and basic office software (e.g., Microsoft Office Suite).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to maintain strict confidentiality.
  • Effective written and verbal communication skills.
  • Ability to pass a comprehensive background investigation, including criminal history and drug screening.

Preferred Qualifications

  • Associate's degree in Criminal Justice, Public Administration, or a related field.
  • Experience with law enforcement records management systems.
  • Knowledge of state and federal regulations pertaining to police records (e.g., MD Public Information Act).
