Job Description
We are seeking an enthusiastic and highly organized Med-Spa Coordinator to be the welcoming face and operational backbone of Aura Medispa & Wellness. This pivotal role requires an individual with impeccable customer service skills, a keen eye for detail, and a passion for the aesthetics and wellness industry. You will be responsible for ensuring a seamless and high-end client experience from the moment they contact us until their departure, managing schedules, maintaining clinic flow, and supporting our clinical team.
Key Responsibilities
- Warmly greet and check-in clients, ensuring a welcoming and luxurious first impression.
- Manage appointment scheduling, confirmations, and cancellations with precision and efficiency.
- Handle client inquiries via phone, email, and in-person, providing accurate information about services and products.
- Process client payments and manage transaction records accurately.
- Maintain client records and ensure confidentiality and compliance with data protection regulations.
- Assist in inventory management for retail products and clinic supplies.
- Ensure the reception area and waiting lounge are immaculate and presentable at all times.
- Support the clinical team with administrative tasks as needed.
- Proactively identify opportunities to enhance the client experience and contribute to sales targets.
- Handle client feedback and resolve concerns gracefully and professionally.
Required Skills
- Minimum 1 year of experience in a high-end customer service, hospitality, or administrative role.
- Exceptional communication and interpersonal skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and ability to multitask in a fast-paced environment.
- Impeccable attention to detail and a proactive attitude.
- Ability to maintain composure and professionalism under pressure.
- A genuine passion for client care and the aesthetics industry.
Preferred Qualifications
- Previous experience in a medical spa, dermatology clinic, dental practice, or luxury retail environment.
- Familiarity with medical scheduling software (e.g., Mindbody, Booker, Nextech).
- Knowledge of aesthetic treatments and skincare products.
- Experience with upselling or cross-selling services/products.
