Job Description

We are seeking a dedicated and organized HOA Administrator to join our team in Tacoma, WA. This is an on-site, full-time position with consistent office hours, Monday through Friday. The HOA Administrator will be responsible for providing essential administrative support to our Homeowners Association portfolio, ensuring smooth operations, excellent communication, and efficient record-keeping. The ideal candidate will have strong organizational skills, attention to detail, and a commitment to serving our communities.

Key Responsibilities

  • Manage and organize HOA records, including homeowner files, correspondence, and financial documents.
  • Prepare, distribute, and manage homeowner communications, notices, and newsletters.
  • Coordinate and schedule board meetings, annual meetings, and other association events.
  • Assist with the preparation of meeting agendas, minutes, and resolutions.
  • Process homeowner requests, inquiries, and architectural applications in a timely manner.
  • Support the property management team with various administrative tasks and special projects.
  • Liaise with vendors, contractors, and service providers as directed by the property manager.

Required Skills

  • Proven administrative support experience, preferably in property management or a related field.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and meticulous attention to detail.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • High school diploma or equivalent.

Preferred Qualifications

  • Associate's degree in Business Administration or a related field.
  • Experience with property management software (e.g., AppFolio, Buildium).
  • Knowledge of HOA laws and regulations in Washington State.
  • Customer service experience.
