Job Description
We are seeking a diligent and organised Clerical Assistant to join our Department of Education on a term-time basis. This full-time role is essential for providing crucial administrative support to ensure the smooth operation of our educational services. The successful candidate will be a key member of our team, responsible for a variety of tasks that contribute directly to the efficiency and effectiveness of the department. This is an on-site position based at our offices in Cardiff, offering a stable and rewarding environment for someone looking to contribute to local education.
Key Responsibilities
- Manage incoming and outgoing correspondence, including emails, letters, and phone calls.
- Maintain accurate and up-to-date filing systems, both digital and physical.
- Prepare and format documents, reports, and presentations using Microsoft Office Suite.
- Assist with data entry and maintain various departmental databases.
- Schedule meetings and appointments, manage calendars, and arrange necessary logistics.
- Order and maintain office supplies, ensuring adequate stock levels.
- Provide reception cover and greet visitors when required.
- Support departmental staff with general administrative duties as needed.
- Ensure compliance with data protection and confidentiality policies.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organisational and time management skills.
- Strong verbal and written communication abilities.
- Attention to detail and accuracy in all tasks.
- Ability to work independently and as part of a team.
- A minimum of 1 year of experience in an administrative or clerical role.
Preferred Qualifications
- Experience working within an educational or public sector environment.
- Knowledge of local government administrative procedures.
- Basic understanding of data protection regulations (e.g., GDPR).
- Proficiency in Welsh language (desirable but not essential).
