Job Description

We are seeking a highly organised and proactive AO5 Senior Admin Officer to join our Justice & Attorney General team based in Canning Vale. This pivotal role provides comprehensive administrative support to senior staff and plays a key part in the efficient operation of our department. You will be responsible for managing complex administrative tasks, coordinating schedules, and ensuring the smooth flow of information and processes. This position requires an individual with exceptional attention to detail, strong communication skills, and the ability to work independently within a dynamic government environment.

Key Responsibilities

  • Provide high-level administrative support to senior officers and the broader team.
  • Manage incoming and outgoing correspondence, including drafting and formatting complex documents.
  • Coordinate and schedule meetings, appointments, and travel arrangements.
  • Maintain accurate records, databases, and filing systems, ensuring compliance with departmental policies.
  • Prepare reports, presentations, and other essential documentation.
  • Assist with financial administration tasks, including processing invoices and expense claims.
  • Liaise effectively with internal and external stakeholders, providing professional and timely assistance.
  • Oversee office supplies and equipment, ensuring operational efficiency.
  • Contribute to the continuous improvement of administrative processes and procedures.

Required Skills

  • Demonstrated experience in a senior administrative or executive assistant role.
  • Excellent written and verbal communication skills, with the ability to draft professional correspondence and reports.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and record management systems.
  • Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
  • High level of initiative, attention to detail, and problem-solving abilities.
  • Ability to work effectively both independently and as part of a team.
  • Understanding of government protocols and administrative procedures.

Preferred Qualifications

  • Certificate III or IV in Business Administration or a related field.
  • Previous experience working within a government department, particularly in the justice or legal sector.
  • Knowledge of relevant legislation and policies pertaining to the Justice & Attorney General portfolio.
