Job Description

Associa is seeking a highly organized and detail-oriented HOA Administrator to join our team in Hesperia, CA. This full-time, on-site position operates during standard office hours, Monday through Friday, and is crucial for the smooth operation of our managed homeowner associations. The HOA Administrator provides essential administrative support to community managers, serves as a primary point of contact for homeowners, and ensures the efficient execution of day-to-day community operations. This role requires excellent communication skills, a proactive approach to problem-solving, and a dedication to providing outstanding customer service within a professional office environment.

Key Responsibilities

  • Manage all incoming homeowner inquiries and communications via phone, email, and in-person, providing timely and accurate information and resolutions.
  • Assist with the preparation and execution of HOA board meetings, including scheduling, compiling agendas, preparing reports, and accurately taking and distributing meeting minutes.
  • Process invoices, assist with budget preparation, and maintain accurate financial records under the guidance of the community manager.
  • Maintain accurate and up-to-date homeowner records, property files, and vendor contracts, ensuring confidentiality and data integrity.
  • Coordinate with various vendors for services such as landscaping, maintenance, and repairs in common areas, obtaining bids and scheduling work.
  • Ensure compliance with all governing documents, CC&Rs (Covenants, Conditions, and Restrictions), bylaws, and local regulations for all assigned associations.
  • Provide comprehensive administrative support to the community manager, including scheduling appointments, preparing correspondence, and organizing documents.
  • Assist in the preparation and distribution of community newsletters, notices, and other essential communications to residents.

Required Skills

  • Excellent verbal and written communication skills with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and strong general computer literacy.
  • Exceptional organizational skills, meticulous attention to detail, and the ability to manage multiple tasks efficiently.
  • Demonstrated ability to handle confidential information with the utmost discretion and professionalism.
  • A strong customer service-oriented mindset and a proactive approach to problem-solving.
  • High school diploma or equivalent.
  • A minimum of 6 months of administrative, office support, or customer service experience.

Preferred Qualifications

  • Associate's degree in Business Administration, Property Management, or a related field.
  • Previous experience in property management, HOA administration, or real estate.
  • Familiarity with local HOA laws and regulations in California.
  • Experience using property management software such as CINC, Jenark, or similar systems.
