Job Description
We are seeking a proactive and detail-oriented RFS Admin Assistant to join our dedicated team in Rockhampton. This crucial role provides comprehensive administrative support to the Rural Fire Service (RFS) operations within the Central Queensland region. You will be instrumental in ensuring the smooth daily functioning of our offices, assisting with resource management, volunteer coordination, and general office duties. This position offers a rewarding opportunity to contribute directly to public safety and support our invaluable rural fire brigades.
Key Responsibilities
- Provide administrative support to the Rural Fire Service leadership and operational teams.
- Manage correspondence, emails, and phone inquiries, directing them to the appropriate personnel.
- Maintain accurate records, databases, and filing systems (both digital and physical).
- Assist with the coordination of training sessions, meetings, and community events.
- Process invoices, requisitions, and other financial documentation in adherence to established procedures.
- Support volunteer recruitment, onboarding, and engagement activities.
- Prepare reports, presentations, and other documents as required.
- Manage office supplies and equipment, ensuring availability and proper functioning.
- Assist with logistical arrangements for incident responses and operational deployments.
- Collaborate with internal departments and external stakeholders to ensure effective communication and service delivery.
Required Skills
- Minimum 1 year of administrative or office support experience.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
- High level of attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications
- Previous experience working within an emergency services environment or similar community-focused organisation.
- Familiarity with local government or non-profit administrative processes.
- Experience with database management systems.
- A current Queensland Class C Driver's Licence.
