Job Description
We are seeking a highly organized and detail-oriented Virtual Scheduling Coordinator to join our professional team. This is a fully remote position, allowing you to work from anywhere in Gympie, Queensland. The successful candidate will be instrumental in managing complex scheduling requirements, ensuring smooth operations and optimal resource allocation for our various healthcare services. You will be responsible for coordinating appointments, managing calendars, communicating effectively with internal and external stakeholders, and maintaining accurate records within our systems. This role demands excellent communication skills, a proactive approach, and the ability to thrive in a fast-paced virtual environment.
Key Responsibilities
- Manage and coordinate complex schedules for a diverse team of healthcare professionals and services.
- Proactively schedule and reschedule appointments, meetings, and patient consultations as needed, ensuring minimal disruption.
- Communicate effectively with patients, clients, and team members regarding scheduling details, confirmations, and changes.
- Maintain accurate and up-to-date scheduling records using designated software and systems.
- Identify and resolve scheduling conflicts efficiently and professionally.
- Prepare and distribute daily, weekly, and monthly schedules and reports.
- Provide administrative support to the professional team as required.
- Ensure compliance with all company policies and confidentiality standards.
Required Skills
- Proven experience in a scheduling or administrative support role (minimum 2 years).
- Exceptional organizational and time management abilities.
- Strong verbal and written communication skills.
- Proficiency in using scheduling software and Microsoft Office Suite (Outlook, Excel, Word).
- High level of attention to detail and accuracy.
