Job Description

The Public Sector Events Logistics Assistant will provide vital support to the City Council’s Events team, ensuring the smooth planning and execution of public sector events. This entry to mid-level role involves assisting with event setup, coordination, inventory management, and on-site support for community gatherings, public consultations, and ceremonial events. The ideal candidate will be highly organized, proactive, and possess excellent communication skills, with a passion for community engagement and public service.

Key Responsibilities

  • Assist with the logistical planning and execution of City Council-led public events, meetings, and ceremonies.
  • Coordinate event equipment, materials, and supplies, including ordering, tracking, and inventory management.
  • Support event setup and teardown, including physical arrangements, signage placement, and technical readiness.
  • Liaise with internal departments, external vendors, and community stakeholders to ensure seamless event delivery.
  • Provide on-site administrative and operational support during events, addressing immediate needs and challenges.
  • Prepare and distribute event-related communications, schedules, and briefing materials.
  • Maintain accurate records of event details, expenditures, and post-event feedback.
  • Contribute to the development of event plans, risk assessments, and contingency strategies.

Required Skills

  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work effectively in a fast-paced, dynamic environment.
  • Customer service-oriented approach with a professional demeanor.
  • Ability to lift and move event-related equipment (up to 25 lbs).

Preferred Qualifications

  • Post-secondary education in Event Management, Public Relations, Communications, or a related field.
  • Previous experience (volunteer or paid) in event coordination, administration, or public service.
  • Knowledge of municipal government structures and public sector event protocols.
  • Valid Class 5 driver's license with a clean driving record.
