Job Description
We are seeking a highly organized, professional, and compassionate Housing Authority Receptionist to join our Vancouver office immediately. This vital role serves as the first point of contact for clients, partners, and the public, providing essential administrative and front-desk support. The successful candidate will manage incoming communications, provide information, and maintain an orderly and welcoming reception area, directly contributing to our mission of delivering accessible housing services.
Key Responsibilities
- Greet and welcome visitors to the office with a professional and friendly demeanor.
- Answer and direct incoming phone calls promptly and courteously, providing information or redirecting as necessary.
- Manage general inquiries from clients, applicants, and the public regarding housing programs and services.
- Process incoming and outgoing mail, deliveries, and faxes.
- Maintain the tidiness and professional appearance of the reception area.
- Schedule and confirm appointments for housing officers and staff.
- Assist with basic administrative tasks, including data entry, filing, and photocopying.
- Provide support to other departments as needed, contributing to a collaborative work environment.
- Ensure compliance with privacy and confidentiality protocols when handling sensitive client information.
- Handle urgent situations or difficult inquiries with calm professionalism and escalate as appropriate.
Required Skills
- Excellent verbal and written communication skills in English.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Professional and friendly phone etiquette.
- Ability to work independently and as part of a team.
- High level of discretion and ability to handle confidential information.
- Customer service orientation with a patient and empathetic approach.
Preferred Qualifications
- Previous experience in a receptionist or administrative role, preferably within a social services or government agency.
- Familiarity with BC Housing programs or similar housing assistance initiatives.
- Ability to communicate in a second language (e.g., Mandarin, Cantonese, Punjabi, Tagalog) relevant to Vancouver's diverse population.
- Experience with CRM software or client management systems.
