Job Description
We are seeking a highly motivated and detail-oriented Notary Public Assistant to join our legal administration team. This is an excellent entry-level opportunity for individuals looking to start a career in the legal field with no prior experience required. Comprehensive training will be provided to ensure you gain the necessary skills and knowledge to excel in this role. You will play a crucial part in supporting our legal teams by assisting with document preparation, notarization processes, and general administrative tasks, contributing to the efficient operation of our firm.
Key Responsibilities
- Assist existing Notaries Public with the preparation, review, and organization of legal documents for notarization.
- Maintain accurate records and logs of notarized documents in compliance with state regulations and firm policies.
- Schedule and coordinate appointments for notary services for attorneys and clients.
- Provide general administrative support, including filing, scanning, copying, and managing correspondence.
- Handle incoming and outgoing mail, packages, and deliveries for the legal department.
- Learn and strictly adhere to New Jersey state notary laws and firm-specific procedures and guidelines.
- Assist with other clerical duties as assigned to support the administrative functions of the firm.
Required Skills
- Strong organizational skills and ability to manage multiple tasks effectively.
- Exceptional attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to learn new software and systems quickly.
- Excellent verbal and written communication skills.
- Professional demeanor and a strong work ethic.
- High school diploma or equivalent.
Preferred Qualifications
- A genuine interest in pursuing a career in legal administration or related fields.
- Some prior office or customer service experience (not necessarily legal).
